VISITOR REGULATIONS – AI WEEK 2026

IA Spiegata Semplice S.r.l. (Tax Code/VAT number: 08717290723, hereinafter referred to as “IASS” or “Data Controller”), with registered office in Altamura at Claustro Santoro Tubito n. 15, has adopted these General Visitor Regulations, applicable to the AI WEEK event in its digital and on-site as well as full digital formats, for the purpose of governing:
the rules of behaviour applicable to Visitors, Journalists and any other interested parties (collectively “Interested Parties”) accessing the Facilities designated for the Event or the Web Platform;
the methods of registration, access and use of the Web Platform;
the processing of personal data in full compliance with Reg. (EU) 2016/679 (“GDPR”) and Legislative Decree 196/2003 as amended by Legislative Decree 101/2018 (“Privacy Code”).

PART A – RULES FOR THE ON-SITE EVENT

Article 1 Visitor Qualification and Entry Title

All Visitors, at the time of registration, are required to provide truthful, up-to-date and complete information about their identity and professional activities. False or incomplete declarations will expose the Data Subject to the responsibilities provided for by art. 495 of the Italian Criminal Code and applicable legislation.
The admission ticket is strictly personal and non-transferable. Any assignment or transfer of the ticket, whether for a fee or free of charge, is prohibited and will result in the automatic cancellation of the ticket, with no right to a refund for any party involved.
The entrance ticket is valid for both days of the in-person Event and for the three days of the online Event on the AI PLAY platform.
Once stamped at the entry gates, admission tickets are non-refundable except under the circumstances expressly stated in Articles 9 and 10 of these Regulations, in accordance with Article 74 of Presidential Decree No. 633/1972. The ticket must be retained and presented upon request to fiscal control staff until final exit from the Event.
To qualify for reduced rates, eligible categories must present valid identification or appropriate documentation certifying their activity, issued by the competent authorities and currently valid, upon entry. IASS reserves the right to verify the authenticity of the documentation presented.
Access for Minors: Minors are only permitted to attend the Event if accompanied by a parent or another person exercising parental responsibility or guardianship. For digital services, the registration of minors under 14 years of age requires the express and verifiable consent of the parent or guardian, in accordance with Article 8 of the GDPR and Article 2-quinquies of the Privacy Code.
Visitors are advised to arrive at the Event, particularly on the first day of attendance, well in advance of the opening time to allow for accreditation procedures. Upon entry, it will be necessary to exchange your booking for a physical access pass and collect your identification wristband and access badge; this process may involve variable waiting times depending on attendance levels.
The wristband is strictly personal, non-transferable to third parties and must be worn for the entire duration of your stay at the Event. The transfer of the wristband, for any reason, is considered equivalent to the transfer of the admission ticket and entails the same consequences as referred to in Article 1.2 of these Regulations.
From the second day of attendance, access to the Event will be exclusively by presenting the wristband and badge, without the need for further accreditation.
In the event of accidental breakage or loss of the wristband, the Visitor must go to the reception desk with a valid form of identification to request the issue of a replacement wristband. IASS reserves the right to verify the identity of the applicant and to refuse replacement if there are reasonable grounds for doubt as to the legitimacy of the request.
In case of smarrimento, loss, or destruction of the wristband and/or badge, a new entry ticket will need to be purchased at the selling price indicated on the website www.aiweek.it at that time for the replacement of one or both.
1.8 Upgrade of purchased ticket: Visitors who have purchased a Business Ticket have the option to upgrade by purchasing a new VIP Ticket or a new Privilege Ticket. Likewise, Visitors who have purchased a VIP Ticket can upgrade by purchasing a new Privilege Ticket. In both cases, by sending a specific request to the email address amministrazione@iaspiegatasemplice.it, it will be possible to obtain a refund for the ticket originally purchased. The refund will be issued using the same payment method used for the original purchase. The request for a refund of the ticket originally purchased must be received in the manner explained above within and no later than 15 days from the new purchase.
IASS reserves the right to refund the price difference within 60 days of the request.
Article 2 Accessibility
IASS is committed to ensuring the accessibility of the Event, both on-site and digitally, for people with disabilities, in compliance with Law 67/2006, Legislative Decree 82/2005 (CAD), and Directive (EU) 2019/882 on accessibility, transposed by Legislative Decree 82/2022.
Visitors with specific accessibility needs are invited to contact IASS at accessibilita@aiweek.it well in advance of the Event date, in order to arrange the necessary support measures.
Article 3 Prohibited Conduct
The unauthorised commercialisation of products within the Exhibition District or at the Event venue is strictly prohibited. In case of violation, IASS reserves the right to: (i) request the intervention of the Public Security Authority; (ii) revoke the admission pass with immediate effect and without right to refund; (iii) proceed with the recovery of damages in the competent judicial offices.
Smoking is forbidden within the Exhibition Centre and in any covered area of the Event, including e-cigarettes and similar devices, in accordance with Art. 51 of Law 3/2003. Violation is punishable by an administrative fine ranging from a minimum of €27.50 to a maximum of €275.00, doubled if committed in the presence of pregnant women, infants or minors up to twelve years of age. Designated smoking areas are available, their location indicated on the Event map.
The following behaviours are also prohibited:
the introduction of dangerous objects, weapons (including imitation firearms) or illicit substances;
any form of harassment, discrimination or aggressive behaviour towards other attendees, exhibitors or Event staff;
the use of communication network jamming equipment;
unauthorised access to restricted areas;
any conduct contrary to public order, good morals, or these regulations.
Article 4 Health, Safety and Prevention Measures
The Interested Parties are required to strictly comply with all applicable health and safety measures within the facilities designated for the Event, including the provisions of Legislative Decree 81/2008 (Consolidated Law on Safety) and any other current health regulations at the time of the Event.
IASS reserves the right to adopt, communicate with due notice through the official channels of the Event (website, confirmation email, posters), specific health prevention measures should the competent Authorities make them mandatory or advisable in relation to public health risks.
Participants from abroad or who have transited through countries subject to specific health protocols are required to consult the website of the Ministry of Foreign Affairs and International Cooperation (www.esteri.it) in advance and to comply with all obligations therein. Failure to comply will result in the sole responsibility of the Party concerned, including under criminal provisions applicable in case of false declarations.
IASS reserves the right to deny access or request the removal of any individual exhibiting symptoms of communicable diseases or who violates adopted health measures, in compliance with the principles of proportionality and non-discrimination.
Article 5 Photography, Video Recording and Surveillance
It is expressly forbidden for Visitors to take photographs, film footage, or audio recordings within the Exhibition District or at the Event venues, unless they have express and prior written authorisation from IASS. This prohibition applies to any equipment (smartphones, tablets, camcorders, cameras, drones, etc.).
In the event of a breach, IASS reserves the right to protect its rights and the rights of the individuals depicted in any competent forum, including the protection of copyright under Law 633/1941 and related rights, as well as legislation on the protection of personal data.
By entering the Exhibition Centre or the Event venues, the Visitor acknowledges that they are in a public place and agrees that IASS, through its own staff or appointed professionals, may acquire generic photographic or video recordings to document and promote the Event on its official channels (website, social media, print and digital editorial materials).
Should the Visitor not wish to be photographed or filmed in a recognisable manner, or on behalf of a minor accompanying them, they are required to expressly communicate this at the time of entry to the reception staff, who can be identified by their special pass. The absence of such communication shall be understood as a failure to exercise objection to the processing pursuant to Article 21 GDPR.
A Visitor who has not exercised the right to object shall not be entitled to any fee, consideration or compensation for the use of the materials referred to in paragraph 5.3, without prejudice to the right to protect their image pursuant to Article 10 of the Civil Code and Articles 96-97 of Law 633/1941.
IASS does not guarantee the control or removal of content that may be published by third parties who are independent data controllers on online channels not managed by IASS.
The external and internal areas of the Exhibition Centre are subject to video surveillance for security purposes. The processing of the data collected is under the responsibility of Fiera Milano, the data controller.
Article 6 Distribution of Promotional and Advertising Materials
The distribution and/or unauthorised dissemination of promotional and advertising materials within the Exhibition District or at the Event venues is prohibited, including digital distribution via QR codes, NFC or similar technologies, without prior written authorisation from IASS.
Any visitor found undertaking such unauthorised activity will be immediately divested of their entry title, with no entitlement to a refund, and may be reported to the relevant Authorities.
Article 7 Animals
Access for animals within the Exhibition District is regulated, for each edition of the Event, by specific provisions communicated through official channels. An exception is made for guide dogs and assistance dogs serving people with visual, hearing, or motor disabilities, whose access is always guaranteed under Law 37/1974 and Law 376/1988 and subsequent amendments.
Article 8 Liability
IASS disclaims all liability for damage to property and/or persons occurring within the Exhibition District or in any way on the Event premises, unless the aforementioned damages are directly and exclusively attributable to IASS itself, within the limits of Articles 1218 et seq. of the Italian Civil Code.
IASS does not assume the role of custodian for goods brought in by Visitors under Article 1766 et seq. of the Civil Code, and therefore is not liable for any damage, loss, or theft, unless directly attributable to IASS's responsibility. Visitors are advised not to leave valuables unattended.
IASS is not responsible for false, misleading, or unauthorised information circulated via promotional material distributed by unauthorised third parties. Such conduct will be reported to the competent Authorities.
The overall liability of IASS towards a single Visitor shall in no event exceed the value of the entry ticket purchased, except in cases of wilful misconduct or gross negligence on the part of IASS.
Article 9 Cancellation and Rescheduling of the Event
IASS reserves the right to cancel and/or reschedule the Event planned in its calendar, providing notification to registered Visitors via official channels (email, website) with as much advance notice as possible.
In the event of cancellation or rescheduling due to causes attributable to IASS, the Visitor shall be entitled, at their choice, to one of the following forms of redress:
reconfirmation of the validity of the entry ticket for the rescheduled date;
the issue of an equivalent entry ticket for a future edition of the Event;
full reimbursement of the amount paid, in the event of definitive cancellation, within 14 (fourteen) days of notification of cancellation.
Beyond what is provided for in clause 9.2, IASS shall not be liable for any further costs, charges, expenses or damages that may be incurred by the Visitor (such as, by way of example: travel expenses, accommodation, loss of earnings), unless such damages are a direct consequence of a serious and wilful breach of contract by IASS.
In the event of cancellation or rescheduling due to force majeure – including, but not limited to, adverse weather conditions, health emergencies declared by the Authorities, measures by public authorities, acts of war, natural disasters – IASS will apply the same refund methods as per clause 9.2, subject to the limitation of liability for consequential and indirect damages.
IASS shall not be liable if the Visitor, for reasons not attributable to IASS, does not attend the Event. In such a case, no refund or compensation shall be due.
The running order of interventions and the Event programme, including the names of pre-announced guests and speakers, may be subject to variations and modifications at IASS's sole discretion, even close to the Event date. The possible non-participation of one or more pre-announced guests or speakers does not constitute a breach of contract and does not grant any right to refund, compensation or damages towards the Visitor.

Article 10 Right of Withdrawal
Due to the nature of the AI WEEK Event, as a leisure activity with a specific performance date, the right of withdrawal under Articles 52 et seq. of Legislative Decree 206/2005 is not applicable, pursuant to Article 59, paragraph 1, letter n) of the same decree. The admission ticket purchased is therefore non-refundable, except in cases of cancellation or rescheduling of the Event as regulated by Article 9 of these Regulations.
Article 11 General Provisions
IASS reserves the right to deny access to the Event or to escort out any person who violates these Regulations or engages in dangerous or disruptive behaviour, in accordance with the principles of proportionality and non-discrimination.
This Regulation is drafted in Italian as the official language, in accordance with national and European Union legislation, which should be referred to for the interpretation of its provisions.
IASS reserves the right to amend these Regulations at any time. Amendments will be published on www.aiweek.it, which constitutes the official and updated reference for the conditions applicable to the Event. Visitors are therefore invited to consult the website periodically to view the current version. Amendments will take effect 15 days after publication, except for those necessary to comply with legal obligations, which will take immediate effect.
The terms and conditions of these Regulations, brought to the attention of the Data Subject through publication on the website and display at the entrance to the Exhibition Centre, together with the information on the processing of personal data, constitute the entirety of the agreements between the Parties in relation to the Event.


PART B – RULES FOR DIGITAL AND ON-SITE OR FULL DIGITAL EVENTS
Article 12 Registration of Users to the Web Platform and Workshops
The event's dedicated app facilitates contact between Exhibitors and Visitors. IASS acts as a neutral intermediary and is not a party to the negotiation relationships established between Visitors and Exhibitors, nor does it assume responsibility for the obligations undertaken by them, in compliance with the exemption regime provided for by Regulation (EU) 2022/2065 (Digital Services Act – DSA).
The APP access credentials are personal and non-transferable. The User is responsible for the safekeeping of their credentials and for any activity carried out through their account. You are obliged to immediately notify IASS of any unauthorised access.
All Users are required to provide truthful, accurate, and up-to-date information upon registration. False statements will expose the individual to applicable legal responsibilities.
The sharing of Users' personal data with the initiative's Sponsors and Partners – an up-to-date list of whom can be consulted at www.aiweek.it – is subject to obtaining the express consent of the Data Subject, which must be freely given, specific, informed, and unambiguous (Article 7 GDPR). This consent is requested separately via a dedicated opt-in box at the time of registration. Consent can be withdrawn at any time by writing to dpo@iaspiegatasemplice.it without prejudice to the lawfulness of the processing carried out before the withdrawal.
Article 13 IT Security Regulations
The User guarantees that all files, documents, images, and multimedia materials uploaded to the APP are free from malicious code, viruses, malware, spyware, or any other programs capable of damaging the computer systems of IASS or third parties. The User is obliged to fully compensate for damages arising from the breach of this obligation, pursuant to articles 2050 and 2055 of the Italian Civil Code.
Failure to comply with the safety measures entitles IASS to immediately exclude the User from the Platform and the Event, without right to refund, and to report the incident to the competent Authorities, including CSIRT Italia, pursuant to Legislative Decree 65/2018 and Directive NIS2 (Dir. (EU) 2022/2555).
It is forbidden to carry out unauthorised access activities to IASS or third-party computer systems via the Platform, as well as any reverse engineering, unauthorised automated web scraping, or circumvention of technical protection measures, pursuant to art. 615-ter of the Italian Penal Code and applicable copyright law.
Article 14 Platform Management and Multimedia Content
The closure and operational modifications of the APP are at IASS's discretion. The closure and/or modifications do not entail any obligation for reimbursement or compensation.
IASS reserves the right to remove from the Platform, without prior notice, any content that violates these Regulations, applicable law or third-party rights, in accordance with the obligations provided for by the DSA. The removal does not entail any reimbursement and/or compensation of any kind from IASS to the Visitor.
Article 15 Guarantees, Liability, Force Majeure and Third-Party Sites
IASS endeavours to ensure the continuous availability of the Platform during the Event days, but cannot accept responsibility for interruptions, malfunctions or inaccessibility due to technical, maintenance or causes beyond its control.
Access to the Platform may be temporarily suspended in the event of system failure, scheduled maintenance, urgent repairs, or for reasons of force majeure. In the event of scheduled maintenance, IASS undertakes to provide adequate notice through official channels.
IASS is not liable for any fraudulent or unlawful use by third parties of User content.
IASS is not responsible for: (i) loss of business opportunities or indirect damages suffered by the Visitor; (ii) damages arising from incorrect or unsuitable use of the Platform by the Visitor.
The Platform may contain links to third-party websites or applications. IASS does not exercise any control over such sites and is not responsible for their content, availability, or privacy policies. Access is at the sole risk of the User.
Article 16 Visitor Responsibility
The Visitor assumes full responsibility regarding ownership of rights over trademarks, distinctive signs, patents, industrial designs, photographs, videos, and any content uploaded to the Platform or included in chat areas, guaranteeing not to infringe copyrights, personality rights, or third-party rights. The Visitor shall indemnify and hold harmless IASS from any claim, cost, or damage arising from such infringements.
Disputes between Visitors, and between Visitors and third parties, shall be resolved directly between the parties concerned, excluding any liability on the part of IASS.
Publication on the Platform of content that is contrary to law, morality, public order, or good custom, or that constitutes a criminal offence (including, by way of example: defamation, incitement to hatred, child pornography, violation of others' privacy) is absolutely prohibited. IASS will adopt notice-and-action procedures in compliance with the DSA obligations.
IASS accepts no responsibility for the content published by Users on their profile pages or on the Platform's sharing areas, but undertakes to act promptly to removeIllegal content reported or identified, in accordance with the obligations of the DSA.
Article 17 B2B Programme
Meetings requested by the Visitor within the B2B programme will only become effective if confirmed by the Exhibitor. Schedules may be subject to change at the last minute. There is no time limit for agreed meetings.
IASS is not responsible for any failure to hold scheduled business meetings or for the outcome of negotiations between Visitors and Exhibitors. All dealings are conducted exclusively between them, with total exemption for IASS, in its capacity as a neutral intermediary under the DSA.
Article 18 Multimedia Materials Release
By accepting these Regulations – which constitute, pursuant to Article 23 of the GDPR and Article 96 of Law 633/1941, express consent to the processing of personal data and the use of images – the visitor authorises IASS to use images and videos of them, as well as any other multimedia material uploaded by them to the Platform.
IASS may use said materials for journalistic, communication, and commercial promotion purposes of the Event, on any medium (print and digital), including websites, social media, and editorial materials.
IA guarantees that the materials will not be used in contexts prohibited by law, nor in ways that could prejudice the Visitor's personal decorum and dignity.
Consent may be revoked at any time by writing to dpo@iaspiegatasemplice.it without prejudice to the lawfulness of the processing carried out prior to withdrawal.
No remuneration is payable to the Visitor for the use of the aforementioned materials, without prejudice to the right to protection of their image and dignity.
Article 19 GDPR - Notification obligation regarding rectification, erasure or restriction of processing
The controller of personal data collected in connection with the Event is IA Spiegata Semplice S.r.l., with its registered office in Altamura at Claustro Santoro Tubito n. 15, VAT number 08717290723, email: info@aiweek.it. The Data Protection Officer (DPO) can be contacted at dpo@iaspiegatasemplice.it.
The complete privacy policy on processing (Art. 13 GDPR), including purposes, legal bases, retention periods, recipients and data subjects' rights, is available at www.aiweek.it and is provided to the User at the time of registration.
The Data Subject has the right to: (i) access their data (Art. 15 GDPR); (ii) obtain rectification of their data (Art. 16); (iii) request erasure of their data (Art. 17); (iv) restrict the processing of their data (Art. 18); (v) data portability (Art. 20); (vi) object to the processing of their data (Art. 21); (vii) withdraw consent at any time (Art. 7 GDPR). To exercise these rights, please contact dpo@iaspiegatasemplice.it. It is also possible to lodge a complaint with the Personal Data Protection Authority (www.garanteprivacy.it).
Article 20 Artificial Intelligence and AI-Generated Content
In consideration of the nature of the Event, IASS may employ artificial intelligence systems for organisational, content moderation and personalisation of the experience purposes, in compliance with Regulation (EU) 2024/1689 (AI Act) and the EDPB guidelines on the processing of personal data by AI systems.
The User who uploads content generated by artificial intelligence systems to the Platform is obliged to: (i) ensure that such content does not infringe the rights of third parties; (ii) verify its accuracy; (iii) indicate its artificially generated nature, where required by applicable regulations or IASS policies.
It is forbidden to use the Platform to distribute disinformation, unauthorised deepfakes, or other manipulated material generated by AI systems in violation of third-party rights or applicable regulations.
Article 21 Dispute Resolution and Competent Court
For Visitors acting as consumers within the meaning of Legislative Decree 206/2005, the competent court for any dispute relating to these Regulations shall be the court of the consumer's place of residence or domicile, in accordance with Article 66-bis of the Consumer Code.
Before resorting to legal action, the Parties are invited to attempt an amicable settlement. Consumers may also make use of alternative dispute resolution (ADR) procedures pursuant to Legislative Decree 130/2015, or the European online dispute resolution (ODR) platform: https://ec.europa.eu/consumers/odr
For relationships between IASS and Exhibitors or other non-consumer parties, the sole competent court shall be that of the place where IASS is based (Court of Bari), with the application of Italian law.
This Regulation shall be governed by Italian law. For matters not expressly provided for, reference shall be made to the provisions of the Italian Civil Code, the Italian Consumer Code and applicable European legislation.
