You will be part of the official team of volunteers at AI WEEK, the biggest event in Europe dedicated to Artificial Intelligence! A unique opportunity to experience the event as a protagonist, make new connections and discover behind the scenes of an event of international scope with thousands of visitors.

The Application

To join the AI Squad, make sure you meet the following requirements:

  • AgeYou must be at least 18 years old by 1 April 2025.
  • Language: You feel comfortable communicating in Italian and possibly in English.
  • Training: You can participate in both the training course that will take place online in April and the in-person day that will be held in Milan between 5 and 8 May.
  • Availability: You are available for the 2-day event, on 13 and 14 May 2025, and you live or have support in MILAN.

Areas of activity

Volunteers of the AI Squad have a special role: to make this edition of the AI WEEK for all participants.

The activities carried out by the volunteers are simple and varied. During the selection process we will make sure to assign you the role that best suits your interests and skills!

Reception and accreditation
Welcome guests, speakers and participants professionally and manage their access to the event.

General supervision and flow management
Ensure that participants find their destinations easily and help maintain an orderly and safe environment.

Backstage and speaker support
Help speakers prepare before their speeches and ensure that backstage runs smoothly.

Volunteer management support
Help the team in managing and supervising the other volunteers and ensure that they have a smooth experience and that they have the information they need to fulfil their role.

Problem solving and live contingency management
Support the team in case of unforeseen events with creativity and live problem solving skills.

Presence at information points
Provide useful information and answer participants' questions to make their experience smoother.

The path to the AI WEEK 2025

February 2025 - Application

Send your application online. It only takes 3 minutes to tell us who you are, your motivation and your availability.

March 2025 - Selection

If you pass the initial assessment, you will be able to participate in a get-to-know-you meeting (online or in person, depending on your preference) to find out more about the project and tell us how you want to contribute to the success of the event.

End of March - beginning of April 2025 - Role Assignment

If your profile is selected, you will officially join the AI Squad!
You will be notified of your role and all necessary information.

April 2025 - Online training

Take part in an online training course to better prepare you to perform your role with confidence and competence.

May 2025 - In-Presence Training and AI WEEK 2025

FAQ

GENERAL QUESTIONS
Who can apply for AI Squad?
No specific skills or experience are needed. We ask you to:
1. be 18 years of age by 1 April 2025.
2. knowledge of Italian (other languages are a plus).
3. attend the selection meeting and training course (online and in-person in Milan).
4. be available on 13 and 14 May 2025 for the event in Rho Fiera Milano.

What is the minimum age to participate?
You must be 18 years of age by 1 April 2025 to participate.

Is it necessary to have experience in the field of events or artificial intelligence?
It is not essential. However, any previous experience in teamwork, public contact or similar roles is an added value. Don't forget to share it in the questionnaire!

Which languages do I need to know to apply?
Italian is essential to communicate effectively. Knowledge of English or other languages is a plus, especially for roles with international guests.

Can I apply even if I don't live in Milan?
Yes, if you have support in the city for the training and event days. Please note that transport and accommodation are not covered by the organisation.

What does it mean to be part of the AI Squad?
It means becoming part of the beating heart of AI WEEK, Europe's largest AI event! You will be able to:

Find out how the organisation of a major international event works.

Is there any compensation for volunteers?
The experience is on a voluntary basis, so there is no remuneration from the organisation.

CANDIDACY
How can I send my application?
Fill in the form at this link. It only takes about 3 minutes to complete it and tell us about yourself.

What information should I provide in my application?
We will ask you to:
1. Enter your personal data.
2. Sharing any relevant experiences.
3. Indicate your preferences for roles and areas of activity.
4. Specify your availability.

What is the deadline for submitting an application?
We are looking for around 100 volunteers and will start selecting profiles and conducting interviews as soon as applications open, don't miss your chance!

How does the selection process take place?
After reviewing the applications, we will invite you to an acquaintance meeting, either online or in person in Milan according to your preference. These meetings are an opportunity to get to know each other better, find out the details of the role you would like to undertake and meet the other candidates.

Can I modify my application after sending it?
No, but if you need to pick it up, write to volontari@aiweek.it and put 'pick up application + name' in the subject line.

I no longer want to participate in the project, can I withdraw my application?
Yes, write an e-mail to volontari@aiweek.it and put 'withdrawal application + name' in the subject line.

When will I know if my profile has been selected?
You will receive official feedback by mid-April 2025. Don't worry if you don't receive any updates before then!

TRAINING
Is training compulsory to participate? 
Yes, it is essential to prepare you best for your role. Without completing the training you will not be able to participate in the project. Please note that the main training will take place online in the second half of April, while the in-person training will be held in Milan on a day between 5 and 8 May.

What does the training course consist of?
We will provide:
1. An overview of the event and its objectives.
2. Specific indications about your role and activities.
3. Practical tips for handling situations you may encounter.
4. Location information to familiarise oneself with the spaces.

Will the training be online or face-to-face?
It will be organised in a mixed mode: online and in-presence in Milan. The main training will be held online in the second half of April, while the in-presence training will be held in Milan on one day between 5 and 8 May.

Do I have to bear training costs?
No, the training course is completely free of charge and offered by the AI WEEK organisation.

ROLES AND RESPONSIBILITIES
What roles are available for volunteers?
You will be able to deal with:
1. Reception and accreditation.
2. Room supervision and flow management.
3. Volunteer management support
4. Backstage for speaker support.
5. Problem solving and live contingency management.
6. Information support at points of interest.

Can I choose the role I prefer?
Yes, in the application form you can indicate your preferences and skills, which will be taken into account by the AI Squad recruitment team.

Is it possible to change roles during the event?
No, this is to ensure the best organisation. However, you may be required to adapt temporarily to another task in cases of necessity.

LOGISTICS
Does the organisation provide board and lodging for volunteers?
Lunch is offered by the organisation on event days. For accommodation and transport, it is necessary to have personal support in Milan as expenses will not be covered or reimbursed.

Are reimbursements provided for transport or accommodation costs?
Transport and accommodation costs will not be reimbursed to volunteers.

Where will AI WEEK 2025 take place?
At Rho Fiera Milano on 13 and 14 May 2025.

Are shift times flexible?
Shifts are structured from 8 a.m. to 7 p.m., including breaks, to ensure fluidity and better role management. In case of special personal needs, you can indicate your requirements during the get-to-know-you meeting.

Can I only participate for one of the two days of the event?
We give preference to those who make themselves available for both days to ensure continuity of the event, but we also consider partial applications.

DURING THE EVENT
What is the dress code for volunteers?
Comfortable and professional clothes:
Black or dark trousers (without rips or patterns).
Comfortable trainers (no heels allowed). T-shirts will be provided by us.

What do I have to bring during shifts?
The essentials:
1. Valid identity document.
2. Mobile phone with charger or powerbank.
3. Team spirit!

What happens if I fail to show up for my assigned shift?
Notify the team in good time via the direct contact provided, so that a reorganisation of personnel can take place.

Who can I turn to for assistance during the event?
During the training you will get to know the main contact persons who will be there throughout the event and you will have a dedicated telephone contact for any emergencies.

Can I take photos or record videos during shifts?
No, for privacy and security reasons it is not allowed.

AFTER THE EVENT
Will I receive a certificate of attendance?
Yes, at the end of the event you will receive a certificate of participation from the AI WEEK 2025 team of volunteers.

Can I apply for future events?
Yes! You will become part of a large network of volunteers managed by Mariangela Miranda's event production company, with the possibility of receiving updates on new open positions in advance.
