You will be part of the official team of volunteers of the AI WEEK, Europe's largest event dedicated to Artificial Intelligence!

A unique opportunity to experience the event as a protagonist, make new connections and discover behind the scenes of an event of international scope with thousands of visitors.

I Requirements

To join the AI SQUAD, make sure you meet the following requirements:

  • AgeYou must be at least 18 years old by 1 April 2026.
  • Language: You speak native Italian. Knowledge of English and French is an added value for your selection.
  • TrainingYou undertake to complete the free and compulsory training provided by us.
  • Availability: You are available for both days of the event, Tuesday 19 and Wednesday 20 May 2026, and can be at Rho Fiera Milano at 7:00 am.

Areas of activity

Volunteers of the AI SQUAD have a special role: to make this edition of the AI WEEK for all participants!

The activities to be performed are simple and dynamic, here are some examples.

Hospitality & Experience
The first contact with participants is what defines the experience. This is where professionalism, presence and the ability to make everyone feel in the right place, from the first second, come into play.

Flow Management & Space Supervision
A great event works when everything flows harmoniously. Those working in this area contribute to smooth, orderly and safe movement within the exhibition.

Organisational Support to Internal Teams
A team of over 200 people needs coordination. This includes supporting the team leaders, facilitating rapid communication and ensuring that every department is aligned.

Live Operations & Problem Solving
Events are alive: they change, adapt, evolve. Those who work in this area intervene when needed, keep calm and help find quick and effective solutions.

Presence of Information Points
Reference points for those with doubts, questions or needs. This is a key role in keeping the event welcoming and well organised.

The path to the AI WEEK 2026

December 2025 → March 2026: Applications & selections

During this period we collect applications and carefully analyse each profile. Selection is based on motivation, clarity of answers and availability: we choose people who demonstrate enthusiasm, proactivity and a genuine desire to contribute to an event of this magnitude.

March 2026: Definition of roles and areas of intervention

Once the selections are complete, we assign each person to the team and the area of activity most in line with his or her aptitudes. Each resource will receive a clear indication of his or her contribution during the AI WEEK.

April 2026: Compulsory training and preparation activities

We organise the training activities to align the whole team, present processes, real-life case studies, guidelines and reference persons. This is an essential step to ensure a smooth and professional event.

May 2026: AI WEEK 2026

The team goes into action. These will be dynamic, fun and unforgettable days, where everyone will contribute to creating a valuable experience for thousands of participants. It will also be an opportunity to create new friendships and connections.

FAQ

Who can apply for the AI SQUAD?
No specific technical skills are needed to join the AI SQUAD. However, we do ask that you:

  • has turned 18 years of age by 1 April 2026;
  • you speak Italian mother tongue;
  • is available for both event days (19 and 20 May 2026);
  • can be in Rho Fiera Milano at 7:00 am;
  • participate in compulsory training.

    Experience in events, associations or similar activities is a plus, but not a requirement.


What is the minimum age to participate?

You must be 18 years old by 1 April 2026.

Is it necessary to have previous experience as event support staff?
No, it is not necessary. But any experience in teamwork, public contact, association work, trade fairs or events will be considered an added value.

Which languages do I need to know to apply?
Italian is essential. Knowledge of English or other languages is a plus.

Can I apply even if I don't live in Milan?
Yes, as long as you can reach Rho Fiera Milano at 7 a.m.
Transport and accommodation are not covered or reimbursed by the organisation.

Is there any compensation for volunteers?
No, the experience is on a voluntary basis. However, there are dedicated benefits for the AI SQUAD, including one year's access to the AI Play app with recordings of AI WEEK training content.

How can I send my application?

What information should I provide in my application?
We will ask you to:

  • enter your personal data;
  • indicate your availability;
  • report any relevant experiences;
  • tell us why you want to join the AI SQUAD.

What is the deadline for submitting an application?
You have the opportunity to submit your application from December 2025 to March 2026.

However, we suggest you apply as soon as possible: we will evaluate the profiles in order of arrival until the entire team of volunteers is completed.

How does the selection process take place?
Selection is mainly based on the information in the form: motivation, clarity of answers, availability and alignment with requirements.
Some profiles may be invited for individual or group interviews.

Can I withdraw or modify my application after having sent it?
If you wish to withdraw your application or add and update information, please write to volontari@aiweek.it.
Subject for withdrawal of candidature: Withdrawal of candidature + first name and surname.

When will I know if my profile has been selected?
You will receive feedback by e-mail. The aim is to confirm the team and roles by March 2026, so that training can start in April.

I have already been part of the AI SQUAD in the past: should I apply again?
Yes. Previous experience will be considered a plus, especially for team leader roles.

Do you also accept people with total first experience?
Absolutely! We are looking for motivated, reliable and curious people.
The sincerity and motivation you show in the form are worth more than experience.

Is training compulsory to participate?
Yes. It is an integral part of the project: without training you cannot participate in the event.

What does the training course consist of?
You will receive:

  • an overview of the event;
  • operational information on your team;
  • guidelines on communication, flows and relations with the public and speakers;
  • processes, team referrals and contingency management.

Will the training be online or face-to-face?
The main training will be online between April and early May.
Any face-to-face meetings will be announced in advance and will be organised in such a way as to facilitate attendance by all.

Do I have to bear training costs?
No, it is completely free.

What happens if I change my mind about my participation during the training?
No problem. We do not require specific technical skills: teamwork, proactivity and adaptability are enough.
If you realise that it is not what you imagined, you can withdraw your application by following the procedures indicated in the “Application” section.

What roles are available for volunteers?
Areas of activity include:

  • Reception and accreditation,
  • Room and flow management,
  • Support for internal teams,
  • Live operations and problem solving,
  • Presence of information points,

Assignment depends on matching profile, aptitude and event needs.

Can I choose the role I prefer?
You can indicate the areas in which you are most comfortable in the form. We will do our best to take them into account, but the priority is the success of the event. The final allocation is at the discretion of the organising team and cannot be changed.

NoteDuring the event, roles will be dynamic and you may support different activities.

Is it possible to change roles during the event?
No, except for specific organisational needs, where we may ask you for temporary support in another area.

Will you help me integrate into the team?
Absolutely! The AI SQUAD is a close-knit community: many volunteers from the 2025 edition have formed lasting friendships and partnerships.

The course includes training and activities that foster knowledge and integration.

Will there be someone to guide us step by step?
Yes. You will always have a team leader and a dedicated staff. No role requires difficult skills: the work is collaborative and guided.

Does the organisation provide board and lodging?
Lunch on both days is offered by the organisation. Transport and accommodation are the responsibility of the volunteers.

Are reimbursements provided for transport or accommodation costs?
No, the organisation may not provide reimbursement of expenses or compensation for volunteers.

Where and when will the AI WEEK 2026 take place?
At Rho Fiera Milano, Tuesday 19 and Wednesday 20 May 2026.

What are the shift times?
Attendance is required from 7 a.m. until the end of the activities, with several breaks provided.

The final timetables will be communicated in the preceding weeks and will depend on the activities planned by the team.

Can I attend only one of the two days of the event?
No, availability for both days is required.

What time does the day end?
Approximately around 7 p.m.

Is there a place to leave backpacks/bags?
Yes, there will be a storage and cloakroom dedicated to the AI SQUAD.

Can I study or work during breaks?
Yes, breaks are free: you can study, work or relax.
During active shifts it is important to maintain concentration and responsibility.

Is a vegetarian/vegan menu planned?
Yes. Before the event we will send out a form to collect food intolerances and preferences.

Can I bring my lunch from home?
Yes, if you prefer you can consume it in the volunteer area.

Will I receive a certificate of attendance?
Yes, in the weeks following the event, once the internal checks to confirm your attendance have been completed.

Will I have access to the content of the event?
Yes. By actively participating in both days you will receive 1 year access to the AI Play app to view the AI WEEK recordings.

Can I apply for future events?
Of course. You will join the volunteer community managed by Ammira, with early access to new opportunities.
